Add and arrange a module's fields

Add fields of any type to a module, make them required or calculated, and choose what the list and the quick form show.

Guide 7102Updated

A module's fields are what each of its records holds: a property's address and price, a ticket's priority, a payment's amount and due date. Every record also has a name, such as Property name, which is always required and is not in the field list.

Only owners and admins can change fields. Open Settings → Modules and click the module.

Add a field

  1. Under Fields, click Add field.
  2. Type the Field name.
  3. Choose the type (see below).
  4. For Choice or Multiple choice, add the Choices. You need at least one.
  5. For Bind to a record, choose what it points at: a lead, deal, contact, company or one of your other modules.
  6. Tick what applies:
    • Several values: more than one date, phone, file and so on. For a file, also choose as a list or as tiles (pictures as thumbnails).
    • Required: the record cannot be saved without it.
    • Show as a list column: the field appears as a column in the module's list. It is ticked to start with.
  7. Click Add.

Change a field

Each field is a row under Fields, with its type on the right. On the row you can:

  • Rename it: click the name, type, and click away.
  • Click req to make it required or optional. It is red when required.
  • Click the eye to show it as a list column or hide it from the list.
  • Click the gear to open Configure (below).
  • Click the bin to remove it. You are asked first. Values already saved in it stop showing.

Renaming a field keeps the values saved in it.

Rules, calculations and several values

The gear on a field opens Configure. Depending on the type, it has:

  • Field name, and the Choices for a choice field. Changing the choices here also changes them wherever this field is used on leads, deals, contacts or companies.
  • Points at, for a Bind to a record field.
  • Help text: a hint shown under the field on the form.
  • Allow several values, and Show files as for a file field.
  • Calculate it from other fields, for Number, Amount and Money fields. Write a sum such as price times quantity, using Insert a field… to add the other fields. It uses + − × ÷ and brackets, and is worked out every time the record is saved.
  • Always required, or Required only when another field is…: pick a Choice, Multiple choice or Yes / No field, then click the values that make this field required. With no value picked, it is required as soon as that field is answered at all. Choose Never — it stays optional to remove the rule.

Click Save.

Choose what the quick form asks for

There are two forms for adding a record: the full form, which always has every field, and the quick form, for when you only need the essentials. Quick form asks for lists all the fields: click one to add it to the quick form or take it off. It says saved each time. Until you choose, the quick form asks for the required fields and the first three.

Fields on the list and the card

  • Fields with the eye open are columns in the list to start with. Each person can still show or hide columns for themselves with Columns, and choose what a card on the board shows with Card. See Work with a module's list and board.
  • The record card shows every field, in the order of the list in settings.

To link the module to deals, contacts and other records, see Attach a module to other records.
