Hand someone's work to a colleague
Use the Transfer hub to see who holds what, move a person's leads, deals, contacts, companies and tasks to someone else in one go, and undo it within 30 days.
When someone leaves, changes role or goes on long leave, their work has to go to someone else. The Transfer hub shows what each person holds, module by module, and moves it to a colleague in one go. Every move is remembered, so you can undo it with one click for 30 days.
Open it from People → Transfer hub in the left menu. Only owners and admins can use it.
See who holds what
The table lists every person, including people who have been dismissed (shown crossed out, marked dismissed). For each module there is a count:
- open / closed. Closed means converted or lost leads, won or lost deals, done tasks, and records of your own modules in a closing stage.
- Contacts and companies have no closed count.
- Total adds up the row.
Use the two buttons at the top to switch what is counted:
- As responsible: the records they are responsible for, and the tasks and activities assigned to them, in Leads, Deals, Contacts, Companies, Tasks & activities and each of your own modules.
- As observer: the leads, deals, contacts and companies they observe.
Type in Find a person… to find someone quickly.
Move someone's work
- Choose As responsible (or As observer to move what they observe).
- Click Transfer on the person's row.
- Under Who takes over as responsible (or as observer), choose the colleague. Only active people can take over.
- Under Which modules, untick anything that should stay where it is.
- Leave Also move closed items unticked to move only open work, or tick it to move the closed records too. (This choice is only offered for As responsible.)
- Check how many items will move, then click Transfer with the number of items.
The new person becomes responsible for those records, or assignee of those tasks and activities, straight away.
When you move what someone observes, the colleague becomes an observer of those records in their place, closed ones included. If the colleague already observes a record, the old person is simply taken off it.
Undo a transfer
Transfers from the last 30 days are listed under Transfers — last 30 days, with who moved what to whom, how many items, and who did it.
- Find the transfer and click Revert.
- Confirm.
Each item goes back to the original person, as long as it still sits with the colleague it was moved to. Anything the colleague has since passed on to someone else stays where it is. After 30 days a transfer can no longer be undone.
