Choose what a form creates

Make each submission a lead, or a contact with a company and a deal, and decide what happens when the customer is already in the CRM.

Guide 3202Updated

The After sending tab of a form decides what each submission becomes in the CRM, who is responsible for it, and what the visitor sees after pressing the button.

Open the form from CRM forms and choose After sending.

Lead, or contact, company and deal

Under Where each submission lands, pick the records to make:

  • Lead stands on its own. You convert it later, when the person is ready to buy.
  • Contact, Company and Deal go together, filed under each other. Pick any of them.
  • Records in your own modules can be added under Your modules, where the module is allowed to be attached to them (Settings → Modules → Can be attached to).

Then pick each record's fields on the Form tab. The field picker lists the fields of everything chosen here.

For a lead, choose the stage it Starts in. For a deal, choose the Pipeline and the stage it Starts in.

When the customer is already there

Each record has a When one is already there choice:

  • Make a new one: every submission makes a new record, even when it matches one.
  • Merge: the record already there is used. Its empty fields are filled in and nothing it has is changed.
  • Merge, flag changes: the record already there is used. A submission fills only its empty fields, and answers that differ from what the record has are kept in the record's source information and timeline for you to check.

Under The same lead means (or contact, company), pick the fields that make two records the same, such as Phone or Email, and whether any of them or all of them must match. Phones match on their last nine digits, however they were typed.

Only open leads count as a match, not converted or unqualified ones. Only open deals in the chosen pipeline count, and picked products are added to the matched deal's product lines.

Who is responsible

Under Responsible person, choose a person, keep Whoever made the form, or choose Take turns between several people… and tick the people.

Leave Notify the responsible person of each submission ticked so they hear about it straight away.

Source and thank-you

  • Source (shown on the records): the source written on each record. It defaults to the form's name.
  • Thank-you message: what the visitor sees after sending.
  • Or send them to a page: a web address to send them to instead, such as your own thank-you page.

The page the visitor sent the form from and its UTM tags are written into each record's source information, with the answers to questions that are not CRM fields.

Press Save at the top when you are done.
