Leads overview
What a lead is, where leads come from, and how to see them as a board or a list.
A lead is someone who might become a customer: a person who filled in a form on your website, sent a WhatsApp message, answered a Facebook ad or called your office. Save them in the CRM as leads so nobody is forgotten, then work on them until they are ready to buy.
Leads suit businesses that get many enquiries. One person or team can sort and qualify them, then pass the interested ones on to sales as deals.
Where leads come from
You can add a lead by hand, and many arrive on their own:
- CRM forms on your website create a lead for each submission. See CRM forms.
- Lead sources bring in Facebook and Instagram lead ads. See Lead sources.
- The contact center, calls and webmail can turn a new conversation into a lead.
- Import a spreadsheet of leads you already have, from the gear button at the top right of the Leads page.
The board
Open Leads in the left menu. The page opens on the board: one column per stage, each card a lead. The most recently changed card sits at the top of its column, and the column heading shows how many leads it holds and their total value.

- Drag a card to another column to move the lead to that stage.
- Click a card to open the lead.
- Quick lead at the top of a column adds a lead straight into that stage.
- The final stages, the ones that mean a lead succeeded or failed, sit after a divider at the right end, so the leads you are still working on stay in view.
- A converted lead keeps a converted label and can no longer be dragged. The deal it became is where the work continues.
The chips above the board (Overdue, Planned, No activity) show the leads that need you. See Lists and boards.
The list
Switch to the list with the List button at the top. The list shows more leads at once, with columns such as Score, Stage and Responsible. Click a column heading to sort by it; click again to reverse the order.
Hover a row to see its buttons: Convert to deal and Delete.
Score: hot, warm and cold
Every lead gets a score out of 100 from what is filled in and what has happened with it, shown as Hot, Warm or Cold. Hot leads are the ones most worth calling first: sort the list by Score to start with them. Owners and admins set how points are given under Settings → Lead scoring.
Stages
Leads run on one pipeline. Owners, admins and managers change its stages with the Manage stages button (next to Card on the board), or add one with Add stage at the end of the board. See Pipelines and stages.
When a lead is ready to buy
Open the lead and click Convert, or drag it into the stage that means success. The CRM makes the deal, and the contact and company if you choose, copying across what the lead already holds, so nothing is typed twice. See Convert a lead.
