Work on a task and finish it

Open a task, start it, put it off, finish it, and talk about it with the people involved.

Guide 4103Updated

Click any task to open it. A task has its own address, so you can copy the link and send it to a colleague. Everything about the task is on one screen: what it is, who is on it, when it is due, the time spent and the discussion.

The parts of a task

  • The header shows the number, the title, the status, the priority, the deadline, the responsible person and the project. Click the title to rename the task.
  • The description is under the header. Click it to write or change what needs doing.
  • Add under the description adds a Checklist, a Subtask, a task this one Waits on, or a File. See Subtasks, checklists and dependencies.
  • Discussion is a chat about the task. The same conversation is also in Messenger.
  • The panel on the right holds Responsible, Set by, Participants, Observers, Deadline, Start, Reminder, Repeat, Priority, Project, Tags, Options and Time. Changes save as soon as you leave a field.
  • About at the bottom right links to the project, deal, lead, contact or company the task belongs to.

Move a task along

A task is To do, In progress, In review, Deferred or Done. Use the buttons at the top right:

  • Start sets the task to In progress and starts your clock on it.
  • Pause stops your clock and sets the task back to To do.
  • Defer puts the task off. Pick a date in Defer until and press Defer. The date becomes the new deadline. Resume picks it up again.
  • Complete finishes the task. Any clocks running on it stop, and the people on the task are told. If the person who set the task asked to check the result, it goes to them for review first. See Check a task's result before it counts as done.
  • Reopen brings a finished task back to To do.

When a task is done, a green Result line appears at the top. Add a line about what came of it if that helps the people who follow it.

If the task belongs to a deal, lead, contact or company, finishing it is also noted on that record's timeline.

Other actions

The ⋯ button at the top right has:

  • Copy task: a new task with the same details, called "(copy)".
  • Save as template: keep the task to use again. See Repeating tasks and templates.
  • Delete: moves the task to the Recycle bin after you confirm.

History, next to it, shows who changed what on the task, and when.
